Turn a WhatsApp client request into an assigned Notion task

Plan a request handoff: forward the client message, create an assigned Notion task and return completed work for review.

Keep one person responsible for the client handoff.

A useful request handoff keeps the original message, a clear owner and a checkable result together. In a Runnrr pilot, we can scope forwarding a client request into your existing Notion tracker, then returning the ready work to the coordinator for review. Exact connections and actions are agreed and tested before use.

The coordinator stays in control of what becomes work and what goes back to the client. The client can keep using the existing conversation.

Define the handoff before connecting the tools

  1. Step 1

    Agree the required details

Choose the client, project, task owner, requested result and due date fields. Decide what happens when the message is incomplete or the owner is unclear.

  2. Step 2

    Forward the request with instructions

Include the original message and any files the team needs. Name the project and owner. Do not make the agent guess who should take responsibility.

  3. Step 3

    Create and verify the task

Map the request to the existing Notion fields. Confirm the assigned person, source message, deadline and saved task link. A retry must not create another copy.

  4. Step 4

    Return the work for review

Agree which Notion status means ready for review. Return the result and file link to the coordinator. A ready task is not the same as client approval.

  5. Step 5

    Handle revisions and failures

Link revisions to the original request. Flag missing details, inaccessible files and failed updates. The coordinator approves the final client response.

What you end up with
  • An assigned task linked to the original request.
  • A result returned to the coordinator before client delivery.
  • A written rule for incomplete requests, revisions and duplicate retries.

Questions before you start?

Do clients need a Notion account?

The intended workflow keeps clients in their existing conversation. Your team uses Notion; the coordinator reviews and forwards the result.

What happens when the request changes?

Treat the change as a revision linked to the original task. Confirm any new scope, deadline or owner before continuing.

How do we know the handoff worked?

Check the saved task, assigned person, original source and returned result in the actual tools. An agent saying done is not enough.

Find the right fit

  • This guide describes a workflow to scope and test, not a packaged WhatsApp–Notion integration.
  • Access, destination fields, message delivery and ongoing support are agreed for your setup.
