Client onboarding checklist template for accounting firms

Start each client with a named owner, a due date and a clear test for completion. The workbook includes a 16-item checklist, a view across clients and a final sign-off check.

Free to copy and adapt. No sign-up.

This template is for administrative tracking only. It is not tax, accounting or legal advice.

How to use the template

  1. Copy the checklist for each client and remove items outside the engagement. Add accounting-specific access, opening balances and the first period’s document list.
  2. Ask clients to invite your team with individual accounts and appropriate roles. Never request passwords by email or in this sheet.
  3. Review three queues: waiting on the client and overdue, received but unchecked, and one client’s full list for kickoff. Define who signs off before moving to ongoing work.

Download the workbook for all tabs, or use the CSV for a single table. To use Google Sheets, upload the Excel file or import the CSV. Delete the example rows and the final NOTE row in each CSV before adding your own records. Store files in your firm’s approved system and link to them; keep passwords, identity numbers and document contents out of the tracker.

Questions before you start?

Is this only for accounting firms?

The base checklist covers small service firms. For accounting clients, add your engagement checks, software access, opening balances and first-period documents. Your firm’s identity and regulatory checks still apply.

Can I import it into Google Sheets or Notion?

Yes. Upload the Excel workbook or CSV to Google Sheets. In Notion, import a CSV into a database and check the date and status field types. These downloads do not include a hosted duplicate link.

What counts as onboarding complete?

Use the Done test tab and your engagement requirements. A promise to send a document is not receipt, and an invitation sent is not confirmed access. A named person signs off the required checks.

Spend less time chasing client documents.
