QuickBooks Online Accountant: requests and shared documents
Intuit’s guide describes creating a client request and receiving uploads in Shared Documents. Use the request to identify the specific item, then check the uploaded file against the account and period. This source describes the Canadian product; confirm the equivalent feature and labels in your region.
Xero: request documents with Ask
Xero describes Ask in Partner Hub as a secure way to request information or documents, track replies and see outstanding queries. It says clients can reply through a secure login even if they are not Xero users. Check availability in your region and partner account.
Keep the same completion test in either system
Client / period | Expected item | What arrived | Next action |
|---|---|---|---|
ACME / October | Statement ending 4521 | 1–15 October | Keep 16–31 October open. |
ACME / October | Statement ending 7730 | Full October statement | Queue for checking; do not close account 4521. |
ACME / October | Payroll summary | Nothing yet | Remind only about the missing payroll item. |
Do not equate an upload with a complete month
Match the file to the account and full expected period. Keep missing date ranges open. A bank feed and a statement serve different checks; use the evidence required by your engagement. The person checking the files records acceptance before closing the request.
When a client keeps sending files elsewhere
Agree one upload route and one person to reconcile exceptions. If WhatsApp or email remains part of the process, define how a file is matched to the current request and where it will be stored before automating the handoff.
Scope the remaining manual work
QuickBooks and Xero are examples Runnrr scopes workflows around. Any document access, record updates or reminder actions must be checked for your software, region and permissions before setup. No native Runnrr integration is established by this guide.
