Immigration client document tracker for law firms (free)

Track each document for each person separately. Keep the reason it is needed, translation status, expiry date and attorney check together, so a received file is not confused with an approved filing document.

Free to copy and adapt. No sign-up.

This template is for administrative tracking only. It is not legal advice.

How to use the template

  1. Have the attorney approve the case-specific list against the current official form instructions. The starter list is not a list of filing requirements.
  2. Track original documents and translations under the same person and item. Review expiry dates weekly.
  3. Stop reminders when the item arrives. Staff can mark Ready for review; the attorney records approval before filing assembly.

Download the workbook for all tabs, or use the CSV for a single table. To use Google Sheets, upload the Excel file or import the CSV. Delete the example rows and the final NOTE row in each CSV before adding your own records. Store files in your firm’s approved system and link to them; keep passwords, identity numbers and document contents out of the tracker.

Use the current form instructions

The attorney approves the case-specific list against the official USCIS forms and instructions. The tracker does not determine what a filing requires.

Questions before you start?

Is the starter list a USCIS document checklist?

No. It is a starting point for your firm’s tracker. The attorney decides what each case needs using the current official form instructions.

How do I keep family members’ documents separate?

Use one row per document per person, with the case and person filled in. Do not combine two passports or two birth certificates into one status.

Does Received mean ready to file?

No. A file may still need translation, a clearer copy or attorney review. Keep the review and approval fields separate from receipt.

Spend less time chasing client documents.
