Client document request email and text templates for law firms

Use these six email and text reminders to ask for one missing document at a time. Each gives the client a clear next step and a way to reply if they cannot find the item.

Free to copy and adapt. No sign-up.

This template is for administrative tracking only. It is not legal advice.

How to use the template

  1. Replace every bracket with the correct client, document, date and secure upload link. Use the name the client will recognise.
  2. Have the approved reviewer check the wording and recipient. The attorney decides any consequence mentioned in the final reminder.
  3. Stop when the item arrives, the client replies, the request changes or the matter is paused. Check consent before using text messages.

Download the workbook for all tabs, or use the CSV for a single table. To use Google Sheets, upload the Excel file or import the CSV. Delete the example rows and the final NOTE row in each CSV before adding your own records. Store files in your firm’s approved system and link to them; keep passwords, identity numbers and document contents out of the tracker.

The attorney approves the case-specific list against the official USCIS forms and instructions. The tracker does not determine what a filing requires.

Questions before you start?

Can these reminders be sent automatically?

The templates do not send messages. Agree the channel, approvals, stop rules and technical connection before using them in an automated workflow.

What if the client sends only part of the document?

Record what arrived, pause the old reminder and check the gap. The next message should name only the missing pages, period or document.

Should the final reminder threaten a consequence?

Only include a next step approved by the attorney for that matter. Do not invent a legal consequence or deadline to make the message more persuasive.

Spend less time chasing client documents.

Runnrr sets up the recurring steps in your existing tools. Start with one workflow and agree the checks with your team.
