Clio medical records tracking, with or without the PI Add-On

If your firm has Clio’s Personal Injury Add-On, use the matter’s Medical Records area to track provider requests and follow-up dates. Without it, keep a linked request tracker and assign responsibility for reviewing it.

Start with the features on your plan

Clio describes medical records tracking as part of its Personal Injury Add-On, available on selected plans. Confirm access in your account before changing your process. Keep a separate tracker if your account does not have that area, rather than copying instructions for a feature your team cannot use.

Set the provider request and follow-up

In the Medical Records area, Clio lets staff record request dates and follow-up dates for records and bills, choose a status and create an assigned follow-up task. Clio includes Requested, Received and Incomplete statuses. Enter the next date when sending the request, rather than waiting until it becomes overdue.

Do not lose the operational detail

Field

What to record

Provider and records contact

Match the provider, hospital system and retrieval contact before creating another request.

Record type and service dates

Separate records, bills and imaging where their destinations differ.

Authorization and proof sent

Record the approved authorization and a link to the sending receipt.

Status and missing items

Keep partial records open; name the missing type or date range.

Owner and next date

Give one person responsibility for checking the next action.

Handle incomplete treatment records

When treatment or records remain incomplete, keep the request open. Compare received files to the dates and types requested, record the gap and review the next follow-up date. Clio’s guide describes marking ongoing treatment and records incomplete and updating follow-up dates as files arrive.

Without the add-on

Use the downloadable tracker as the request register. Keep a link to the matter and the supporting files, and assign a person to review the next-date queue. This is an administrative fallback, not a claim that the spreadsheet imports into Clio or reproduces the add-on.

Scope any work outside Clio

If staff still copy request details into email, start with one approved follow-up. Runnrr can assess the available connection and review steps for your version and access. Creating or changing Clio records is not a verified action in this guide.

Questions before you start?

Is medical records tracking included in every Clio plan?

No. Clio documents it under the Personal Injury Add-On on selected plans. Check the current plan and access with Clio.

Can Clio create a follow-up task for a records request?

Yes. Its medical records guide describes selecting a follow-up date and creating a task assigned to a firm user. Availability depends on access to that feature.

Spend less time chasing client documents.

Runnrr sets up the recurring steps in your existing tools. Start with one workflow and agree the checks with your team.
